Conferences Are Saving Hotel Results, and the Room Key Is Moving Into the Smartphone
September marks the start of the season for Polish business hotels, a season where results are shaped not so much by individual overnight stays as by entire events. In this week's industry roundup, we look at how hoteliers are learning to calculate conference profits differently than before, and how access technology is transforming something as basic as the room key.
01 · MICE and Events
Conferences and Events Are Once Again Driving Revenue for Polish Hotels
After the summer lull, business hotels in Poland are returning to the MICE season in full force. As "Rzeczpospolita" reports, occupancy rates at properties catering to corporate clients are already reaching around 90%, while conference space utilization holds steady at 61-75% [1]. October is expected to be the strongest month, though the entire September-November quarter accounts for the highest demand for events.
More interesting than the occupancy figures themselves is how the industry is starting to measure its success. Instead of looking solely at room price, hotels are increasingly using the TRevPOR indicator - total revenue per occupied room - which accounts not just for the overnight stay, but also catering, room rental, and additional services [1]. This approach can flip the apparent profitability hierarchy between cities - in November, Gdańsk, despite a significantly lower average room price than Kraków, generates a higher TRevPOR than the nightly rate alone would suggest, precisely thanks to the revenue accompanying business groups.
The second clear trend is shorter events - one- and two-day meetings dominate, planned well in advance by organizers. In Warsaw, the share of group bookings is growing month by month, showing that corporate clients contract conferences far earlier than individual guests, while also analyzing the overall cost and expected business outcomes of the event ever more closely [1]. The MICE market is therefore entering a more mature phase, in which simply "renting a room" is no longer enough - what counts is a comprehensive offering.
02 · Smart Hotel / IoT
The Hotel Room Key Moves Into the Digital Wallet on Your Phone
Speaking of comprehensive offerings and guest experience, access technology is heading in a similar direction - toward maximum simplicity. Virdee, a digital check-in platform provider, has expanded its integration with the Salto access control system, enabling hotels to deliver room keys directly into guests' smartphone and smartwatch digital wallets [2].
In practice, guests tap their phone or watch against a Salto reader and enter their room using NFC technology - exactly as they previously did with a key card, except without pulling out a card, or even unlocking or opening an app on their phone [2]. The solution also works as a key to other authorized hotel areas, such as elevators, the gym, or the pool, and an added benefit is resilience to a dead battery - most phones continue to allow use of the stored key for some time after the battery has run out.
For hotels, this is more than just a gadget - it represents a real change in how front-desk operations work: shorter check-in queues, less wear on physical key cards, and more staff time available for guest service instead of repetitive check-in tasks. It's a good example of how the smart hotel and IoT are ceasing to be buzzwords from trend presentations and becoming implementations already available today in real properties.
Summary
Summary
This week shows two faces of the same shift - hotels are learning to measure guest value more broadly than just through room price, while also investing in technologies that make the stay more comfortable from the very first contact with the room door. If you manage a property, are planning a MICE offering, or are looking for access solution and PMS suppliers, these are exactly the topics worth building your strategy around for the coming months. You'll find more practical solutions, technology suppliers, and interior design inspiration at Hotel Equipment Expo - Branżowe Targi Wyposażenia Hoteli i Rozwiązań dla Hotelarstwa. See you there!
